How to Download Company Master Data from MCA — Step-by-Step Guide

Company Master Data is the official, free record the Ministry of Corporate Affairs (MCA) keeps for every registered company in India — its status, registered office, directors and filing history. Anyone can look it up before signing a contract, opening a bank account, or onboarding a new vendor. Here is exactly how to check and download it in 2026.

What Company Master Data Shows

• CIN (Corporate Identification Number) and legal name, including any former name
• Company status — Active, Strike Off, Under Liquidation, Amalgamated, Dormant, and similar
• Date of incorporation and registered office address
• Authorised and paid-up share capital
• Current directors with their DIN (Director Identification Number) and date of appointment
• Last annual return and financial statement filed (Form MGT-7/MGT-7A and AOC-4), which tells you how current the company's compliance is
• Index of charges — any loans secured against company assets, still open or satisfied

You Will Need to Sign In First (2026 Update)

Most guides online still say Company Master Data is fully public with no login required. That was true on the older MCA21 V2 portal. On the current MCA21 V3 portal, checking as of September 2026, the Master Data Services page (still labelled "Beta Version... for Testing purposes" by MCA itself) routes you through a free account sign-up or login before showing results. This is a real, recent change — not something most third-party guides have caught up with yet.

Registration is free and takes a few minutes with just an email ID or mobile number. MCA's own description of the service still calls it "a facility made available to the general public," so this login step is expected to be an interim requirement while V3 is in beta, not a permanent paywall.

Step-by-Step: How to Check Company Master Data

Step 1: Go to the MCA Portal

Open mca.gov.in directly. Avoid old bookmarked links — MCA retired all its legacy V2 URLs when it moved to V3, and following one now lands on an error page telling you to navigate through the current menus instead.

Step 2: Register or Log In

Click Login/Register in the top right. If you don't already have an MCA V3 user ID, registering under the "Business User" category with your email and mobile number is enough to search Master Data — you do not need a Digital Signature Certificate just to look up a company.

Step 3: Open Master Data Services

From the top menu, go to MCA Services → Master Data → Master Data Services.

Step 4: Search by CIN or Company Name

If you know the company's CIN, searching by CIN gives you an exact match immediately. Searching by name works too, but common names return several similar results — narrow it down using the registered state or incorporation year shown in the results list.

Step 5: View and Save the Result

The result page shows the full record described above. Use your browser's print-to-PDF option, or the portal's own export option where available, to save a copy for your records.

What Each Field Means

• CIN — a 21-character code that encodes the company's listing status, industry, state, incorporation year, ownership type and a unique registration number. It never changes for the life of the company.
• DIN — a unique number every director holds across all companies they're a director of, not one per company.
• Authorised capital is the ceiling the company can issue shares up to; paid-up capital is what shareholders have actually paid in. Paid-up can be lower than authorised, never higher without amending the Memorandum of Association.
• Active Non-Compliant or ACTIVE non-compliant status means the company hasn't filed Form INC-22A (Active) — worth flagging before you deal with a company showing this status.

When You Actually Need This

• Before signing a contract or purchase order with a company you haven't worked with before — confirm it's genuinely registered and active, not struck off.
• Before extending credit or a loan — the Index of Charges shows if company assets are already pledged elsewhere.
• Before joining a company as a director — check its compliance and filing history first; you inherit its ROC record the day you're appointed.
• Verifying your own company's public record — confirming your last filed AOC-4/MGT-7A actually reflects on MCA's system, and that your registered office address is current.
• Bank KYC and tender applications — many banks and government tenders ask for a Master Data printout alongside the Certificate of Incorporation.

Common Problems

• Too many results for a common name — search by CIN instead if you have it, or add the state/city to narrow a name search.
• Company not found — double-check the spelling, or the company may be registered under a different legal name than its brand/trading name.
• Status shows "Strike Off" or "Dormant" — this means the company isn't actively filing with the Registrar; treat this as a real red flag before doing business with it, not a technicality.
